Baro Systems BV, trading as Innoframe, with registered office at Hoevensebaan 267, 2950 Kapellen, Belgium (company number 0831.373.340) is the data controller responsible for the processing of personal data as described in this Privacy Policy.

This policy applies to personal data collected through our website at innoframe.com, through direct business contact, and in connection with the delivery of our services.

2. Personal Data We Collect

We collect personal data in the following contexts.

Website visitors: IP address (anonymised by our analytics tool), pages visited, referral source, browser type, and device type.

Contact and enquiry forms: First and last name, email address, telephone number, company name, and the content of your message.

Service delivery and invoicing: First and last name, job title, company name, address, email address, telephone number, and bank account number (where applicable for payment processing).

Communication: Email correspondence and any personal data you choose to share with us in the course of communicating with us.

We do not knowingly collect personal data from individuals under the age of 16. If you believe we have inadvertently collected such data, please contact us at the address in Article 1 and we will delete it promptly.

3. Legal Bases for Processing

We process personal data on the following legal bases under Article 6 of the GDPR:

Article 6.1(b) — Performance of a contract: Processing necessary to deliver our services, manage our client relationship, and handle invoicing and payments.

Article 6.1(c) — Legal obligation: Processing required to comply with applicable Belgian and EU law, including tax and accounting obligations.

Article 6.1(f) — Legitimate interests: Processing necessary for our legitimate business interests, including operating and improving our website, responding to enquiries, and maintaining business records. We only rely on this basis where our interests are not overridden by your rights and interests.

Article 6.1(a) — Consent: Where we ask for your consent (for example, to send you marketing communications), you may withdraw that consent at any time by contacting us at the address in Article 1. Withdrawal of consent does not affect the lawfulness of processing carried out before withdrawal.

4. Purposes of Processing

We process personal data for the following purposes:

  • Responding to enquiries and requests submitted through our website or by email
  • Delivering and managing the services described in our agreements with clients
  • Invoicing and payment processing
  • Complying with legal and regulatory obligations, including Belgian tax law
  • Operating and improving our website using anonymised analytics data

5. Analytics and Cookies

Analytics: Our website uses Rybbit, a self-hosted, privacy-focused analytics tool. Rybbit collects anonymised data about page visits, referral sources, and device types. This data is processed on our own infrastructure and is not shared with any third party. No personally identifiable information is collected or stored by our analytics tool.

Functional cookies: Our website may use functional cookies strictly necessary for the website to operate correctly, such as session or preference cookies. These do not track you across other websites and do not require consent under applicable Belgian law.

Search engine verification: Our website includes verification tags for Google Search Console and Bing Webmaster Tools. These are used solely for website indexing and search performance monitoring. They do not place tracking cookies on your device and do not collect personal data about website visitors.

We do not use advertising cookies, social media tracking pixels, or any third-party cookies for behavioural targeting or retargeting.

You can configure your browser to block or delete cookies at any time. Blocking functional cookies may affect how some parts of the website behave.

6. Retention Periods

We retain personal data for no longer than necessary for the purposes for which it was collected.

  • Client and contract data (names, contact details, correspondence, invoices): retained for 7 years from the end of the contractual relationship, in accordance with Belgian accounting and tax law.
  • Website analytics data: retained for 24 months in anonymised form.
  • Enquiry and contact form data: retained for 24 months from the date of the enquiry, or longer if it leads to a contractual relationship (in which case the client retention period above applies).

7. Sharing of Personal Data

We do not sell personal data to third parties.

We may share personal data with the following categories of recipients where necessary:

  • Subcontractors and service providers engaged to assist in delivering our services, under written data processing agreements that ensure equivalent levels of protection.
  • Hosting and infrastructure providers used to operate our systems, all of which are located in the European Economic Area.
  • Competent authorities, where we are required to disclose data by applicable law or a binding legal order.

Where we engage processors who process personal data on our behalf, we enter into Data Processing Agreements in accordance with Article 28 GDPR.

8. International Transfers

We process and store personal data within the European Economic Area. We do not transfer personal data to countries outside the EEA. If this changes, we will update this policy and implement appropriate safeguards in accordance with Chapter V of the GDPR.

9. Your Rights

Under the GDPR, you have the following rights with respect to your personal data:

  • Right of access: You may request a copy of the personal data we hold about you.
  • Right to rectification: You may request correction of inaccurate or incomplete personal data.
  • Right to erasure: You may request deletion of your personal data where there is no legitimate reason for us to continue processing it.
  • Right to restriction: You may request that we restrict processing of your personal data in certain circumstances.
  • Right to data portability: You may request that we provide your personal data in a structured, machine-readable format.

We take appropriate technical and organisational measures to protect personal data against unauthorised access, loss, alteration, or disclosure. Our infrastructure is self-hosted on servers located in Europe, operated under hardened configurations. Access to personal data is restricted to personnel who require it to perform their duties.
